Search and filter devices

You want to find a particular device or narrow the list to what matters right now, for example only Windows devices or only the ones from the last few weeks. You do this right in the Device Table on the Overview tab.

👤 Viewing, searching, and filtering is open to anyone with the Reader level. To save or delete a filter view for later, you need Writer or Admin rights.

Step by step: find a device

  1. Find the column you want to search in and click the magnifier icon in its header. A small search box opens.
  2. Type your search term in the Search… field. Part of the word is enough.
  3. Click Search. The table now shows only the matching devices, and the column is marked as active.

✅ Done. You see exactly the devices that match your search. Use Clear to undo it.

Step by step: filter by value

  1. On a filterable column (it shows All types), open the filter menu.
  2. In the selection field (placeholder Any), choose one or more values.
  3. Click Apply. The table now shows only devices with those values.

✅ Done. The list is narrowed down. Use Clear to reset the filter.

Step by step: filter by time range

The Last Activity column shows when a device was last active. Use it to narrow the table to a period:

  1. On the Last Activity column, open the Time Range filter.
  2. In the dropdown (it starts on Select), choose a type of time range.
  3. In the calendar, pick the matching value: for Custom, a start and an end date; otherwise a single date or year.
  4. Click Apply. The table and charts now show only that period.

✅ Done. You see only devices from the chosen period. Use Clear to reset it.

ℹ️ Note: If an entry doesn’t fit (for example, an incomplete range), a short hint appears below the calendar.

Step by step: save as a PDF

  1. Above the table, click Export PDF.
  2. Wait a moment. The button briefly reads Exporting…, and your PDF is then created.

✅ Done. You have the current device list as a PDF.

ℹ️ Note: If the table is empty, Export PDF can’t be clicked. To export the overview charts as a PDF instead, use the Export PDF button in the top right. That’s described in Create a PDF report.

Good to know

  • At the far left of each row there’s a key icon. Authorised users use it to open a device’s BitLocker keys and LAPS passwords.
  • The Data Source column shows where a device comes from: Entra, Intune, or both.
  • Which columns you see can be adjusted: from a filter tab’s menu, open the Devices Settings dialog and show or hide columns there.
  • You can keep a view you’ve set up as your own filter tab. To save it, set it up in the Devices Settings dialog and click Apply; to remove it, click on the tab and then Delete. You need Writer or Admin rights for this.
