Find devices that haven’t checked in for a while

Over time you collect devices that haven’t checked in for a while, for example because they were retired. Here you can find those devices and, if you like, set Clarios up to clean them up regularly on its own.

👤 You need Writer or Admin rights. Automatic cleanup applies to your whole Microsoft 365 environment. As a plain Reader you shouldn’t change it.

Step by step: show those devices

This is how you see the affected devices without deleting anything yet:

  1. On the Overview tab, click Find stale devices in the top right. The Devices Settings dialog opens.
  2. Under Outdated Devices, choose when a device should count as “hasn’t checked in for a while”: a fixed value (30 Days, 60 Days, 90 Days, 100 Days) or Custom for your own number of days.
  3. Click Preview Devices.

✅ Done. Clarios creates a filter view and shows you exactly those devices in the table. Nothing is deleted.

ℹ️ Note: For Custom, Preview Devices can only be clicked once you’ve entered a valid number of days.

Step by step: have them cleaned up automatically

If you want Clarios to remove such devices regularly on its own from now on:

  1. Under Outdated Devices, set when a device counts as outdated.
  2. Under Device Check Interval, choose how often the check runs: Daily, Weekly, or Monthly. (Nothing is preselected here, so you have to choose.)
  3. Under Backup Age, set how long removed devices are kept: Set with a number of days, or Never. Recommended: 365 days, that is, one year.
  4. If you like, turn on Notification Email to be informed by email (see below).
  5. Click Activate Cleanup.

✅ Done. Clarios confirms with “Device cleanup activated successfully” and cleans up outdated devices from now on at the chosen interval.

⚠️ Caution: With Activate Cleanup, Clarios removes outdated devices automatically from now on. Review the threshold (Outdated Devices) and the retention (Backup Age) carefully first. For exactly what happens and where removed devices end up, see View removed devices. Use Cancel to close the dialog without saving anything.

Good to know

  • Get notified by email: When you turn on Notification Email, two fields appear. Under Notification Interval you choose how often you get a message (Daily, Weekly, Monthly, Quarterly, or Annually). Under Recipients you use Add to add up to three email addresses; use × to remove one. Invalid or duplicate addresses aren’t accepted.
  • If activating doesn’t work, a required entry is usually missing, for example a Device Check Interval or a valid recipient address. Clarios then tells you what’s still missing.
